BOOKING POLICY BOOKING POLICY
Welcome to De Aap Farm Lodge! We are delighted to host you at our beautiful retreat. To ensure your stay is as seamless as possible, please take a moment to review our booking policy below. By making a reservation with us, you agree to abide by the following terms and conditions.
  1. Reservation & Booking Confirmation
    • Online Bookings: All reservations can be made through our website or by contacting our reservations team directly. A booking is considered confirmed only once you have received a written confirmation from us.
    • Payment: A 50% deposit is required at the time of booking to secure your reservation. The remaining balance is due 7 days prior to your arrival.
    • Special Requests: Any special requests (e.g., dietary preferences, room preferences) must be made at the time of booking. We will do our best to accommodate but cannot guarantee all requests.
  1. Cancellation Policy
    • Cancellations – more than 14 days before arrival: 100% refund of the deposit.
    • Cancellations between 7 and 14 days before arrival: 50% of the deposit will be refunded.
    • Cancellations – less than 7 days before arrival: No refund of the deposit.
    • No-Show: If you do not show up for your reservation, the full amount of the booking will be charged.
    • Force Majeure: In the event of a natural disaster, government restrictions, or other force majeure events, we will work with you to reschedule your booking or provide a full refund.
  1. Check-in and Check-out
    • Check-in time: 14:00 – 18:00 (unless prior arrangements are made).
    • Check-out time: 10:00 on the day of departure.
    • If you wish to check in or out outside of these times, please contact us in advance to request an early check-in or late check-out. We will accommodate requests based on availability.
  1. Rates and Payment
    • Rates: All rates are quoted in South African Rand (ZAR) and are subject to change without prior notice. Taxes and service charges are included unless otherwise specified.
    • Payment Methods: We accept payments via credit/debit card, EFT, and cash. All payments must be made in full before check-in.
  1. Group Bookings and Events
    • For group bookings or events, a separate contract will be provided outlining specific terms and conditions. Please contact us directly to discuss your requirements.
  1. Age & Guest Policy
    • Children under the age of 2 years stay for free when sharing with two adults. Children aged 2-12 years will be charged at 50% of the adult rate.
    • Children aged 13 years and older are considered adults and will be charged the full adult rate.
    • For safety reasons, we request that children are supervised at all times on the property.
  1. Pets
    • Pets are welcome at De Aap Farm Lodge by prior arrangement only. A pet fee may apply, and owners are responsible for their pets’ behavior. Pets must be kept on a leash at all times and are not allowed in dining areas or in any shared facilities.
  1. Damages and Loss
    • Guests are responsible for any damage caused to the property or its contents during their stay. Any damages or losses must be reported immediately to management.
    • We are not responsible for any loss of personal belongings. Guests are encouraged to keep valuables secure.
  1. Health & Safety
    • Guests are required to follow all safety and security instructions given by De Aap Farm Lodge staff.
    • In the event of a medical emergency, De Aap Farm Lodge staff will assist as much as possible, but guests are encouraged to have their own health insurance or travel insurance.
    • The Lodge is located in a rural area, and guests should be aware that there may be wildlife in the vicinity.
  1. Privacy and Data Protection
    • We respect your privacy and are committed to safeguarding your personal information. Your data will only be used for booking and communication purposes and will not be shared with third parties without your consent.
  1. Amendments to Booking
    • Any changes to your booking must be made in writing and confirmed by us. We will do our best to accommodate changes, but cannot guarantee availability.
  1. Force Majeure
    • De Aap Farm Lodge will not be held responsible for any failure to meet obligations or delays in performance due to events beyond our reasonable control, including but not limited to natural disasters, strikes, or other unforeseen circumstances.
